Position Overview
The Bookkeeper/Accountant reports directly to the Executive Director and is responsible for maintaining accurate financial records for both the St. Vincent de Paul Thrift Store and Pantry. This position manages all bookkeeping functions, payroll processing, and state and federal tax compliance while providing timely reports to support leadership decision making.
Primary Duties & Responsibilities
Financial Management
- Record and reconcile daily sales and deposits in QuickBooks.
- Prepare and submit daily cash reconciliation forms.
- Track and analyze sales figures; prepare regular reports for management.
- Prepare month-end financial reports.
- File and pay Wisconsin sales tax monthly.
Accounts Payable & Vendor Management
- Match packing slips with invoices; ensure timely payments.
- Maintain accurate vendor files.
- Prepare and issue annual 1099-MISC forms.
Accounts Receivable / Customer Billing
- Record and invoice bulk shipments of recycled clothing and rags. Payroll & Compliance
Process biweekly payroll through QuickBooks Online.
- Generate payroll reports and upload files to the bank (with Executive Director approval).
- Manage wage garnishments as needed.
- File and pay state and federal payroll taxes on schedule.
- Prepare quarterly and annual payroll reports.
- Issue year-end W-2s and 1099s.
Administrative Support
- Order office supplies.
- Assist the Executive Director and Store Manager with financial or office-related tasks as needed.
Qualifications
- Experience with bookkeeping and payroll (QuickBooks preferred).
- Strong organizational and time management skills.
- Knowledge of state and federal payroll/tax regulations.
- Attention to detail and accuracy.
- Ability to maintain confidentiality and handle sensitive financial information.
